Help and Advice on Home Working
With the increase in home working, we must be especially sure that our clinical and core operational services can continue to function. This includes making sure that IT systems work quickly and reliably.

There are six simple and practical ways that every member of staff can help:

  • Do not view videos/films on work machines unless it is essential to your work or related to COVID-19 (many videos will have transcripts you can read instead)
  • Don’t go on to social media, non-essential websites and sites that update in the background (like news sites) unless critical to your role. You can always do this on your own devices not connected to work Wi-Fi
  • Save documents to your machine rather than working on them on the network
  • If dialling into work video conferences, ask yourself can we do this without video?
  • Limit use of gaming and streaming services such as Netflix by others in your households as this will effect network speed
  • Close down applications that you are not using in case they are updating in the background
Cyber Advice
Please be vigilant around COVID-19 phishing emails:
  • Do not open emails or click on attachments/files that you are not expecting, especially requests that appear urgent, ask for sensitive information or threaten a loss of access unless you comply with the contents. Never disclose your username or password.
  • Verify suspicious emails with a phone call using a number from a trusted source (internal directory or legitimate web site contact details) – do not reply to the email.
  • Report any suspected phishing/spam emails to spamreports@nhs.net. Please attach the suspicious email to a new email and send that – do not just forward it.
  • Limit your web activity to work-related sites and do not download anything unless you have a legitimate business reason to do so.
  • If you suspect your computer has become infected with a virus, unplug it and immediately report it to the IT service desk.
IT Support Arrangements
There is currently a large demand on countywide IT services. Please use the following contacts:
  • For urgent requests that are impacting on delivering clinical care please call the service desk on 0300 422 2808
  • Routine requests should be logged through the CIT service desk at: ghn-tr.ITServiceDesk@nhs.net
  • All practices on single domain sites have access to TOPDesk self-service single sign-on
Resetting your NHS Mail Password
Advice on how to reset your NHS Mail password via the NHS Mail online portal by linking your mobile phone to your profile:
  • Login to NHS Mail online at above link;
  • Click Profile on navigation bar;
  • Enter mobile phone number;
  • Choose ‘Hide mobile number from address book’;
  • Click Next;
  • Set up three security questions linked to your account;
  • Type a question of your choice into the question textbox and type the correct answer into the answer textbox under Security Question 1;
  • Repeat for security questions 2 and 3 and click save.
Please note that each question/answer must be different, must be between 6 and 12 characters long and must not use repeating numbers or letters, e.g. ‘1111’ or ‘a’. A space will count as a character and entries are case sensitive. Never share your security questions or answers as this will compromise the security of your NHS Mail account. If you have mistyped or forgotten your NHS Mail password, do not attempt to enter it more than twice as you will be locked out of your account. Instead, choose the Forgotten Password link and follow the on-screen prompts to reset your password.

Make sure you have your mobile phone with you. If you’ve answered the question correctly you will receive a temporary password sent as a text to your mobile phone. Use this password to log into your account. If you are locked out of your account please contact the Service Desk.  You will never be asked for the whole answer to your Security Question, only individual characters from it.
